WhatsApp campaigns by segment: a checklist before you send

Prepare the audience, template, variables and follow-up to launch relevant campaigns without improvising.

In a nutshell

A safe campaign is built in four layers: a legitimate purpose, the right audience, an approved message and a verifiable operation. If one layer fails, it's better to stop before queuing.

Define the purpose and audience

Write in one sentence why the person expects to receive the message. Then pick segments that match that reason, not the whole contact list out of convenience.

Exclude opt-outs, incomplete data and contacts that don't meet the campaign's condition.

  • A single goal.
  • Consent or applicable basis.
  • Relevant segments.
  • Exclusion criteria.

Prepare the final message

Review the template with all its variables filled in. The text should identify the business, give context and offer a clear action without creating artificial urgency.

Attachments and links must also be correct, accessible and consistent with what was announced.

  • Preview with realistic test data.
  • No empty variables.
  • Current link and file.
  • A way to opt out or get help.

Validation before queuing

Confirm that the line is connected and that the approved template belongs to that account. A small test catches problems a preview doesn't show.

If a condition is missing, the system should stop creating the campaign instead of producing a queue bound to fail.

  • Channel available.
  • Approved template.
  • Complete eligible audience.
  • Known operational limits.

Results and follow-up

Separate send status, delivery and replies. A sent message isn't a conversation or a sale.

Volga lets you pick one or more segments, preview the eligible audience and check the setup before creating a campaign. Final conditions depend on WhatsApp and the plan enabled.

  • Sent, delivered and failed.
  • Replies and opt-outs.
  • Conversations handed off.
  • Sales actions completed.

Frequently asked questions

Questions about this guide

Can I send a campaign to my whole contact list?

Only if every recipient matches the purpose, expects the message and the send complies with the channel's current rules.

What should I do if an approved template is missing?

Stop the campaign and fix the setup before queuing. Retrying hundreds of messages doesn't fix the cause.
